MISSION
The mission is to have a common fund to:
Enhance teamwork by having all members participate in all activities affecting the team individually and collectively.
To assist in case of death and prolonged sickness occurrences of a member, spouse of the member, parents and children of the member.
To liaise with other groups with similar objectives, NGOs with similar programs and
G.O.K. on all matters pertaining development.
To nature younger generation on community social responsibility
MEMBERSHIP
Membership is open only to Kirutai Community Residents their current location notwithstanding and those associated by marriage or relocation into Kirutai.
a. Be with national ID card.
b. Be between 18-70 years of age.
c. Be introduced by existing group members.
d. Be of sound mind.
e. One who can be easily traced.
f. One who can attend the welfare meetings regularly.
g. One who is easy to work together with other group members.
h. One who can pay monthly contribution and any others contributions.
Members shall be required to pay a non-refundable registration fee of Ksh:1000 for the purpose of Registration of the welfare and management expenses (Website, App, Meeting Venue among others)
FINANCIAL YEAR
Financial year will run from January to December; members can join at anytime.
CASES TO BE COVERED BY THE FUND
Bereavement
Hospitalization
BEREAVEMENT
1) Member - In the event of death of a member, welfare shall contribute Ksh 50,000.00 to console or as a way of saying ‘pole' to the bereaved family.
2) Nucleus family (Spouse and children) - In the event of dissolution of a spouse or child the club shall contribute Ksh 30,000.00 as a way of saying ‘pole' to the bereaved family.
3) The nucleus family refers to a member's spouse or a child as indicated in the registration form
4) Parent- In the event of death of the parent the welfare shall contribute Ksh 20,000.00 as a way of saying ‘pole' to the bereaved family.
5) The parent refers to a member's Parents / Parents-in-law. Prove may be required where necessary (Those raised by guardians can update them as their parents at the point of registration).
6) Sibling- In the event of death of a member's first brother or sister welfare shall contribute Ksh 10,000.00 as a way of saying ‘pole' to the bereaved family. This does not cover stepbrothers or Sisters. For purposes of knowing first brother, first sister and parents, members need to capture their details on the registration form.
HOSPITALIZATION
In the event of hospitalization of a member or his/her immediate family (Nuclear as registered) Welfare will give him/her a cheque of Ksh 20,000 for hospitalization of more than 10days of hopitalization.
MARRIAGES
Kirutai Welfare Association does not cover Marriage/dowry/baby births/circumcision and graduation ceremonies
LEAVERS/EXITS
A written notice to the officials is required for exits and the person ceases to be a member together with his/her family immediately – NO REFUNDS WILL BE MADE .
MONTHLY CONTRIBUTION
To facilitate the above expenses each member of the shall make a monthly contribution of Kshs 500.00 by way of direct debit or Mobile Money on 5th of every month.
In cases here the money in the welfare kitty is not enough to meet a member's claim, members shall be called upon to contribute equally to meet the difference.
The Welfare shall maintain a balance of Kshs 200,000.00 towards its core intentions and any excess at the end of the year shall be invested as it shall be agreed in the AGM.
In cases where the account balance by the end of the year is less than 200,000.00, the same shall be rolled-over to the following year.
ELECTION OF OFFICIALS
There will be offices of the Chairman, Treasurer, Secretary and an external Auditor who shall be elected by the members annually, the officials shall not serve for more than 4 years continuously as per the rules and regulations for welfare associations . (The committee shall be composed of the Chairperson, Vice Chairperson, Treasurer, Secretary,1 more adopted member)
There shall be an Annual General Meeting with the election of the office bearers happening every two years.
There shall be a 21 days' notice given before the meeting date and the agenda of the meeting from the secretary in liaison with the committee as stated in rules and regulations of the associations.
Upon successful election of new officials, handover of books and assets happens immediately, including signing of documentation for change of officials at the registrars' office and bank account signatories.
KIRUTAI WELFARE ASSOCIATION OFFICIAL REGISTRATION
Upon Successful elections of welfare officials, their first task will be to register the welfare with the Registrar of Associations and obtain a valid certificate recognized by the Government and other Institutions.
BANK ACCOUNT
The Welfare shall open/operate a bank account whose signatories shall be the Chairman, Treasurer, the Secretary and fourth elected member with three signatures being mandatory for any withdrawals.
CESSATION OF THE KIRUTAI WELFARE ASSOCIATION
In the event by majority vote, the members decide to wind up the welfare Association, the bank account will be closed & funds distributed to all paid up members equally.
APPENDIX I
DUTIES OF OFFICE BEARERS
1. CHAIRPERSON:
a. Shall preside over all the meetings, AGM special meetings and committee
meetings.
b. Consultation with the office of Social Development.
c. Order any member to leave the meeting if he proves to be disorderly.
d. To sign minutes of previous meetings
e. To be signatory to group documents.
f. Be the final decision maker.
g. Keep the group's certificates.
2. SECRETARY
Responsible for calling and organizing all the meetings.
Makes notes arising from the group meetings
Keep records.
To be signatory to group documents and records.
Shall be responsible for all matters of financial and administration of the group.
Receive correspondence on behalf of the group.
3. TREASURER
a) Keep all money collected from members.
b) Be signatory to all financial documents of the group.
c) Be accountable to all members with regards to keeping of proper books of
accounts for money received and paid by the group.
d) Avail books of accounts for auditing.
